Who is entitled to tax free shopping?

Travellers who reside outside the EU have the right to claim their VAT refund when they made a purchase of minimum €125,0 in Belgium, € 25,- in Germany and € 50,- in The Netherlands in one day at one shop. The traveller must export the purchase(s) to their home country within three months of the month of purchase. When leaving the EU the traveller must go to Customs on the final point of departure to let their tax free form stamp as proof of export. This arrangement also applies to EU citizens who resides outside the EU.


I am running out of tax refund forms. How can I order new forms?

I don’t have any more Easy Tax Free forms and there is a traveller in my shop who would like to claim tax refund. What should I do?

Even without Easy Tax Free forms, the traveller can claim his/her tax refund, as long as the shop is associated with Easy Tax Free. The traveller can ask the Customs office to put the Customs stamp on the original purchase receipt. The stamped receipt can be sent to our Easy Tax Free office, by post or email. The traveller must add the following information: name, address, email and creditcard number or IBAN account number. Without this information we can’t process the refund and refund the traveller’s creditcard or IBAN account.

 

How long are the tax refund forms valid?

The purchase must be exported outside the EU within 3 months following the month of purchase.
We advise the traveller to send the export validated form to Easy Tax Free as soon as possible.


What is the minimum amount for tax refund?

The minimum purchase amount is € 125,01 in Belgium, € 50,- in The Netherlands and € 25,- in Germany (these amounts are including VAT) spent in one day at one shop.


What does the administration around the tax refund entail?

In the shop: when a traveller makes a purchase in your shop and would like to get tax refund, the shop assistant can give him an Easy Tax Free cheque (after filling in the purchase amount, refund amount, date and signing the form). The traveller will also receive an information folder (10 languages) and a prepaid return envelope to send the Easy Tax Free cheque.

Invoices: the administration of the invoices is very easy. Every two weeks you will receive an invoice, provided that we have received tax refund requests from your international customers. You can check the invoices and pay them, or use our Direct Debit option. Please keep the Easy Tax Free cheques in your administration, as these are proof for tax refund for the Tax Agency. When you do your tax returns, you can register the tax refunds as already paid (so you do not have to pay it back to the Tax Agency).


Why do I receive an invoice from Easy Tax Free?

After the Customs office confirms that the traveller has the right to claim the tax refund, by a stamp on the Easy Tax Free form, the forms are returned to Easy Tax Free. Either the refund has already been received at the GWK Travelex offices or we will refund the creditcard or IBAN account of your international customer within 3 weeks. The shop will receive an invoice from Easy Tax Free, as the tax has been paid at your shop and Easy Tax Free has already paid the refund to the traveller. Easy Tax Free asks you to transfer the VAT of the purchases that have been claimed. After paying the invoices, you do not have to return the VAT to the Tax Agency, as you have already paid it back to your international customer through Easy Tax Free. You deduct the refunded VAT from your periodic tax return.


How much VAT refund will the traveller receive?

The traveller receives the VAT minus our service fee. Every store that is associated with Easy Tax Free will receive a folder with Easy Tax Free cheques and a refund table. The shop assistant can check the refund table and see  what refund amount applies to each purchase amount.


Why does the traveller not receive the full VAT amount?

Easy Tax Free asks for a service fee. For this fee the traveller receives the following services:

> prepaid return envelopes to send the Easy Tax Free forms from all over the world without postal stamps

> an information flyer about the refund process

> Easy Tax Free drop boxes on several places at Schiphol Airport

> possibility to receive the refund in cash at one of the GWK Travelex offices at Schiphol Airport

> Easy Tax Free customer service, for all their questions and comments about tax refund

> receiving the refund (without any deductions or extra costs) on their creditcard or IBAN account


How can I discontinue my Easy Tax Free contract?

Please send us a letter cancellation letter with the date on which you want the contract to end. We will not process any Easy Tax Free refund requests after this date. You can send the left-over Easy Tax Free forms, envelopes and flyers back to our office.
